Customer Service Manager, EP Filing
Title: Customer Service Manager, EP Filing
Reporting To: Manager of Customer Service Team
Location: Beijing
Job Purpose
We are looking for a highly detail-oriented and client-focused Customer Service Manager to manage the end-to-end customer service process for our European Patent Validation (EPV) services. In this role, you will be the primary point of contact for clients, managing the client experience for the post-grant phase of European patents, specifically the validation, filing, and translation processes in various European jurisdictions.
Key Responsibilities
1. Primary Client Relationship Management:
Serve as the main point of contact for clients regarding their European Patent Validation needs, building strong, trusted relationships.
Correspondence with clients by email and phone, logging and handling enquiries, with escalation to in-house teams where relevant
Manage client expectations and conduct regular check-in calls and meetings to understand client needs, provide updates, and gather feedback.
2. European Patent Validation & Oversight:
Act as the primary escalation point for clients on all matters related to EPV, including eligibility, country-specific requirements, workflows etc.
Translate complex operational milestones (handled by the ops team) into clear, client-friendly communications.
Manage and respond to all client inquiries, ensuring a swift and effective resolution by coordinating with the internal operations team.
Escalate client concerns or requests to the operations team or product team and manage the communication flow back to the client.
3. Customer Satisfaction and Workflow Improvement
Take full ownership of the client's experience with our services.
Proactively identify potential issues or risks that may impact the client retention and escalate to team manager.
Recording client complaints and resolving all feedback issues in collaboration with IP Services Managers and Group Quality Team.
Conducting root cause analysis in line with defined quality requirements.
Skills & Experience
3+ years of experience in a client-facing role, such as Client Success, Account Management, Customer Service, or a similar function.
Familiarity with Intellectual Property or the European Patent Validation process is essential.
Impeccable communication and interpersonal skills.
Excellent organizational skills with the ability to use their own initiative.

Customer Service Manager, IP Recordal
Title: IP Recordal Specialist
Reporting To: Manager of Customer Service Team
Location: Beijing
Job Purpose
We are seeking a highly motivated and detail-oriented IP Recordal Project Manager to join our dynamic Intellectual Property team. In this pivotal role, you will be the primary point of contact for our customers and internal teams, providing daily support and expert coordination for global intellectual property recordals. Your mission will be to ensure the seamless and accuratemanagement of patent changes across a wide range of international jurisdictions. A key component of this role involves proactively building and maintaining a deep knowledge base of recordal requirements and rules worldwide.
Key Responsibilities
1. Customer Support & Coordination:
Serve as the first point of contact for internal business units and clients regarding all IP recordal inquiries and requests.
Manage the end-to-end process for a high volume of global recordal projects, including changes of name, address, assignments, mergers, and license recordings.
Coordinate with external agents, local counsel, and notaries in various jurisdictions to facilitate the timely and accurate filing of recordals.
Provide regular status updates and clear communication to stakeholders on project progress, potential delays, and completion.
2. Knowledge Management & Jurisdictional Expertise:
Proactively research, analyze, and document recordal requirements, legalization needs, notarization procedures, and associated deadlines for key jurisdictions globally.
Develop and maintain a centralized knowledge repository (e.g., database, intranet site, playbook) of country-specific rules and best practices for IP recordals.
Stay abreast of changes in IP law and procedure in key markets that may impact recordal processes.
Act as a subject matter expert, providing guidance to the wider IP and legal teams on the complexities of global recordals.
3. Project & Process Management:
Develop, implement, and refine project management workflows for IP recordals to enhance efficiency, accuracy, and scalability.
Track project timelines, budgets, and key performance indicators (KPIs) to ensure service level agreements are met.
Identify risks and bottlenecks in the recordal process and propose effective solutions.
Manage related documentation, including Powers of Attorney, Deeds of Assignment, and certified copies, ensuring they meet jurisdictional standards.
4. Financial & Administrative Oversight:
Liaise with the finance department to process and track invoices from foreign associates and vendors.
Assist in budget preparation and forecasting for recordal-related activities.
Skills & Competencies
Exceptional Project Management: Ability to manage multiple projects simultaneously with a high degree of organization and attention to detail.
Exceptional Communication Skills: Fluency in English, with exceptional oral and written communication abilities. You must be able to draft clear, concise emails and reports, and effectively lead discussions with global stakeholders, with the ability to explain complex procedures clearly to non-specialists.
Customer-Focused Mindset: A strong dedication to providing outstanding service and support to internal customers.
Proactive & Analytical: A self-starter with strong research and analytical skills to solve problems and build knowledge independently.
Cultural Awareness: Sensitivity to and experience working with different cultures and business practices across global jurisdictions.
Technical Proficiency: Proficiency with Microsoft Office Suite (especially Excel).
Qualifications & Experience
5+ years of experience in an intellectual property setting, such as an IP law firm, corporate IP department, or IP service provider.
Bachelor’s degree in IP Law or a related field.
Proven experience directly managing global trademark or patent recordals is highly preferred.
Strong understanding of intellectual property principles and terminology.
CET6 or equivalent is essential, TEM 8 is preferred.
Customer Service Manager, Patent Renewal
Title: Customer Service Manager, Patent Renewal
Reporting To: Manager of Customer Service Team
Location: Beijing, Shenzhen (a total of 2 people)
Job Purpose
We are looking for a highly detail-oriented and client-focused Customer Service Manager to manage the end-to-end customer service process for patent renewal services. In this role, you will be the primary point of contact for clients, managing customers’ patent renewal portfolio with satisfactory customer experience.
Key Responsibilities
1. Primary Client Relationship Management:
Serve as the main point of contact for a designated portfolio of clients, building and maintaining strong, trustworthy long-term partnerships.
Manage and respond to all client inquiries, ensuring a swift and effective resolution by coordinating with the internal operations team.
Conduct regular check-in calls and meetings to understand client needs, provide renewal portfolio reports and updates, and gather feedback.
Manage the cooperation process for clients, clearly communicating service workflows, communication protocols, and following key deadlines.
2. Patent Renewal Portfolio Management:
Provide clients with clear, timely communication regarding renewal reminders, invoices, and status updates etc.
Manage internal workflows related to client service requests, ensuring timeliness and accuracy of service delivery.
Support client with budget forecast and cost estimates if required.
Manage and respond to all client inquiries, ensuring a swift and effective resolution by coordinating with the internal operations team.

Job Purpose
We are seeking a highly experienced and proactive Senior Filing Specialist to join our European Patent Validation Operation team. This role is designed for a subject matter expert who not only excels in the end-to-end management of complex validation cases but also provides guidance to junior team members and contributes to process improvement. The ideal candidate will demonstrate an ability to handle the most challenging client portfolios and resolve sophisticated procedural issues with minimal supervision.
Key Responsibilities
Coordination of validation orders with filing agents and patent offices.
Collaborate closely with IP Translations and Renewals teams to ensure seamless, highquality service delivery for shared clients.
Swift resolution of issues arising throughout the validation process.
Assistance with validation queries from customers and internal teams.
Provision of instructions to ensure timely and accurate invoice of completed work.
Assist in the development and refinement of internal workflows, best practices, and training materials to enhance team efficiency and accuracy.
Manage a portfolio of high-complexity and high-value client accounts.
Conduct a thorough quality review of validation orders prepared by junior specialists, ensuring accuracy and compliance with client instructions and country-specific laws.
Proactively monitor and manage critical EP formalities deadlines for a large and complex caseload, identifying potential risks and implementing mitigation strategies.
Skills & Experience
3+ years of direct, hands-on experience in European Patent Validation filing and formalities.
Proven expertise in the specific documentation and procedural requirements for key European jurisdictions (e.g., Germany, France, UK, Switzerland, Italy, Spain).
Demonstrated ability to independently manage a complex and high-volume workload, prioritizing effectively under pressure to meet strict deadlines.
Exceptional attention to detail and a commitment to accuracy in all aspects of work.
Strong problem-solving skills with the ability to navigate and resolve complex procedural challenges.
